This page explains what personal information ClickTown collects, why, and what we do with it. We’ve kept it short and plain.

Who we are

ClickTown is run by Ionut Cesane, a sole trader based in North Northamptonshire. ClickTown is a trading name. It is not a limited company.

When this policy says “we” or “us”, it means Ionut Cesane trading as ClickTown. We are responsible for (the “controller” of) any personal information you give us.

What information we collect

When you use our enquiry form, we collect:

  • your business name
  • your town
  • the type of business you run
  • your phone number
  • your email address (only if you choose to give it)
  • anything you write in your message

Our enquiry form uses a WordPress plugin called Contact Form 7. When you press send, your details are emailed to us at hello@clicktown.co.uk.

When you email or phone us, we collect your name, contact details, and whatever you tell us about your business and what you need.

If you become a client, we also keep the details needed to do the work and get paid. That includes quotes, invoices, payment records, and the content you send us for your website (such as your logo, photos and text).

We don’t ask for sensitive information, and we’d ask you not to send any.

Why we use it

We use your information to:

  • reply to your enquiry
  • give you a quote
  • build and look after your website if you go ahead
  • send invoices and keep our accounts

We won’t add you to a mailing list or send you marketing. We don’t have a newsletter.

Our legal reasons for using it

UK data protection law says we need a lawful reason (a “lawful basis”) to use your information. Ours are:

  • Steps before a contract, and the contract itself. When you ask for a quote or hire us, we need your details to do that.
  • Legitimate interests. It’s reasonable for us to reply to people who contact us, and to keep sensible records of our conversations.
  • Legal obligation. We have to keep certain financial records for tax.

How long we keep it

  • Enquiries that don’t go ahead: up to 12 months, then we delete them.
  • Client records (quotes, invoices and payment records): 6 years after the end of the tax year they relate to, because HMRC requires it.
  • Your website content: for as long as we’re working with you, then for up to 3 months afterwards in case you need a copy. After that, we delete it.

Who we share it with

We only share your information with the companies we need to run the business:

  • IONOS – they host our website and our email. Enquiry form submissions and emails pass through and are stored on their systems, so IONOS may also process your form details on our behalf.
  • Our bank – when you pay us by bank transfer, your payment details are handled by our bank.
  • An accountant, if we use one to help with our accounts and tax return.

That’s it. We never sell your information, and we don’t share it with anyone for marketing.

We may have to share information if the law requires it, for example with HMRC.

Where it’s stored

Your information is stored on IONOS servers. If any of it is held outside the UK, we rely on the safeguards IONOS has in place, as allowed under UK data protection law.

Keeping it safe

We use strong passwords and keep our website and software up to date. Only Ionut has access to your information.

Cookies

Cookies are small files a website saves on your device.

We only use the essential cookies that WordPress needs to make the website work. We don’t use analytics, advertising or tracking cookies. Because these cookies are essential, we don’t need to ask for your consent.

Your rights

You have the right to:

  • ask for a copy of the information we hold about you
  • ask us to correct anything that’s wrong
  • ask us to delete your information
  • object to us using your information, or ask us to limit how we use it
  • ask us to send your information to someone else, in some cases

To do any of these, email hello@clicktown.co.uk or call 03305 204016 (Monday to Saturday, 9am–6pm). It’s free, and we’ll reply within one month.

Sometimes we can’t delete everything straight away, for example invoices we have to keep for tax. If so, we’ll tell you why.

Complaints

If you’re unhappy with how we’ve handled your information, please talk to us first and we’ll try to put it right.
